Privacy policy

This policy explains what information SellBy collects, why we collect it, and the rights you have over it. SellBy is date-tracking software for food businesses: it records deliveries, stock dates and shelf checks, and produces reports from that activity.

Information we collect

Account information. When you register we collect your name and email address. Your password is stored only as an irreversible hash — we never see or store the password itself.

Business data you enter. Products, delivery records, date codes, stock reductions and removals, shelf checks, store access codes and team activity logs. This is your business's operational data and is only visible to you and the team members of your store.

Barcode scanning. The camera is used to read product barcodes. Scanning happens in your browser on your own device; barcode images are not uploaded, stored or transmitted.

Enquiries. If you send an enquiry through the website, we keep the name, business, job title, contact number and message you provide so we can respond.

How your data is stored and shared

SellBy is built and hosted on the Base44 platform, which provides the hosting, authentication and database infrastructure for the service. We do not sell your data, and we do not share it with third parties except the infrastructure providers necessary to run the service. Records belonging to one store are kept isolated from other stores.

Payments

Subscriptions are billed through our payment provider. We never see or store your full card details — payments are handled entirely by the payment provider, which processes card data under its own security and compliance controls.

Retention

We keep your business data for as long as your account is active. If you ask us to delete your account, we will delete your associated business data, except where we must keep records to satisfy legal or accounting obligations.

Your rights

You have the right to access, correct, export or delete the personal data we hold about you, and to object to or restrict its processing. To exercise any of these rights, contact us using the enquiry form on our home page, or ask your store manager to contact us on your behalf. If you are in the UK or EU, you also have the right to complain to your local data protection authority.

Changes

We may update this policy as the service evolves. The date at the bottom reflects the latest version.
